Privacy statement

What we collect 

What you tell us when you sign up 

Your name, email, mobile and where you live. Your registration status, whether you’re an RN or an EN, when you got your APC, and how long you’ve worked as an EN or RN. Your entitlement to work in New Zealand, and your visa type and expiry if you’re on one. 

What you’re looking for: where you want to work, whether you’d move, whether you’re interested in rural work, what kinds of settings interest you, whether you’d like to work in a kaupapa Māori setting, how many hours you want and when you could start. 

Your placement history, anything else you want providers to know, and your CV.

What we add 

Whether you meet the eligibility rules for a funded place, notes from the phone call we have with you, and a record of which providers we’ve sent your details to. 

Why we collect it 

  • To work out whether you’re eligible for a funded first year of practice place. 

  • To have a useful conversation with you about what’s actually out there. 

  • To introduce you to providers in the areas you chose. 

  • To count how many graduates want this work and where, so the hubs can plan and make the case for funding it properly. This is totals only, with nobody named. 

  • To follow how people get on through their first year or two in the job, so we can see whether this is working.  

The eligibility check 

When your form arrives the system checks it against the rules for a funded place: an APC issued in the last twelve months, no more than three months worked as an RN, and the right to live and work in New Zealand. That’s a sorting step, not a judgement about you. A person looks at your details either way, and if you fall outside the rules we’ll tell you what is still open to you rather than just going quiet. 

Who we share it with 

Your details go to the workforce hub for each region you picked, and from there to primary and community care providers in those areas. In some regions the hub works through a PHO to reach providers. We don’t send everything to everybody, and we don’t send your details to areas you didn’t choose. 

Once a provider has your details, they’re responsible for them under their own privacy obligations, and what happens next is between you and them. If you want a provider to delete what they hold, you’ll need to ask them, and we’ll help you do it. 

The register runs on JobAdder, a recruitment platform. JobAdder holds the information for us and only does what we tell it to with it. It doesn’t use your information for its own purposes. 

What we never share 

We don’t pass on how you heard about us. We don’t sell your information and we don’t give it to anybody for marketing. 

Where your information is stored 

On JobAdder’s servers in Australia. Under the Privacy Act 2020, information held overseas by a provider that only stores or processes it on our behalf is treated as still held by us in New Zealand, and we stay responsible for it. 

How long we keep it 

  • You stay on the register as long as you want to be. We check in with you every six months. 

  • We take you off when you ask us to, when you tell us you’ve found something, or if we can’t reach you after two check-ins. 

  • We delete what we hold 12 months after we last hear from you. 

  • If you turn out not to be eligible and don’t want to stay in touch, we delete your details after 12 months. 

  • We keep the counts, with nobody named, because that’s what the hubs use for planning. 

What you can ask us to do 

You can ask for a copy of everything we hold about you. You can ask us to correct anything that’s wrong. You can ask us to take your details down. And you can change your mind about any of the optional things you agreed to, including staying in touch.

If you’re not happy with how we’ve handled it 

Start with the Primary and Community Connect privacy officer.  If you’re still not happy after that, you can complain to the Office of the Privacy Commissioner at privacy.org.nz

Changes to this statement 

This register is new and we’ll be changing how it works as we learn. If we change something material about where your information goes, we’ll tell everyone on the register, and we’ll ask again where we need your agreement rather than assuming we already have it.
